Guest, Restricted and Admin-only access

Guest and Administrator-only access restrict users’ rights within a project. Although you can restrict access to specific folders (and subfolders), other information in the system can still be seen (but not changed). E.g. party names, issues, tags, chronology events of documents, etc. If the requirement is for a person see only a specified set of documents and nothing else, it may be better to simply export the relevant set of documents and provide them as ordinary files outside of the system.

We recommend you only add members of your firm, Counsel, your client, or expert witnesses instructed by you, to a project. Providing Guest access to an opposing party involved in the proceedings is not recommended. If you need to share documents with an opposing party, we suggest you download the relevant documents and distributing them to other parties outside of LawFlow.

Guest access may be useful if you want to allow the client to view and search the discovery documents without being able to modify them. Administration-only access can be useful if you have sensitive documents that only certain members of your team should have access to.

An Administrator on a LawFlow project can control access rights and visibility settings on a project to ensure that users only see the information that is relevant and necessary for their role in the project. There are three ways to restrict access to documents in projects:

  • Create a Guest user. Guests have read only access to the project and can be prevented from viewing specified documents.
  • Create a Guest user with restricted access. Administrators can specify which folders or virtual folders a guest has access to.
  • Create an Admin-only repository. This type of repository is only visible and accessible to project ‘administrators’. This is particularly useful for highly sensitive documents that only certain individuals in your firm should have access to.
