The cost of hosting a project is based on:
- The amount of client documents held in your project; and
- The amount of data that is being stored in your project.
If either of the above criteria are surpassed, your project will automatically ‘upgrade’ to the next plan.
Why does it automatically upgrade?
At the start of a project, you will not know exactly how many documents (or data) your client is going to provide over the course of the matter. For this reason, LawFlow’s pricing automatically upgrades if/when the size of the project increases beyond the current plan. When a project exceeds its original plan, only the difference between the original setup cost and the new plan’s setup cost is invoiced, together with the new monthly fee from that time on. Essentially, there is no ‘downside’ or ‘penalty’ for having started on a smaller plan.
- For example:
If your client estimates they will have 400 documents that amount to less than 2 GB of storage, you would create your project using the smallest plan (‘Up to 500 client documents, 2 GB storage’).
Then, six months later, they find 500 more documents, and you upload those to your project. LawFlow will automatically upgrade that project to reflect it has gone beyond the limits of the smallest plan (it has now gone into the ‘Up to 2,500 client documents, 5 GB storage’ plan).
The next invoice you receive will show an ‘upgrade fee’ being the difference between the ‘original setup fee’ (paid when you created the project) and the setup fee for the new plan (i.e. the new plan fee minus the already paid original setup fee). The invoice will also contain the increased monthly fee.
Similarly, if a year later a further 5,000 documents are received and uploaded to the platform, LawFlow will automatically upgrade the project again. The next invoice will show an ‘upgrade fee’ for the new plan, minus any setup and upgrade fees that have already been paid (i.e. the new plan fee minus the already paid original setup fee and minus the already paid upgrade fee). The invoice will also contain the increased monthly fee.
Is there a limit to how much data we can store?
You can exceed the 50GB storage shown on our pricing schedule. For projects which exceed 50GB, we charge additional storage on a per GB per month basis ($/month/GB + GST). Please contact us to get the current fee for this.
Pre-payment option
When you create a project you can request to pre-pay monthly fees, where we can include one or more monthly hosting fees in the first invoice. This means we won’t invoice the project again for that number of months (months paid in advance are non-refundable and are subject to any additional charges incurred in the interim, e.g. project size upgrades).
Invoice frequency
By default, we invoice each project monthly. However, if it is more convenient, you can request a different invoicing frequency. We will then invoice for that number of months in advance (note: months paid in advance are non-refundable and exclude any additional charges that may be incurred in the interim).
You can change the invoice frequency at any time. This can be useful if you wish to charge your client for project fees in advance or bi-monthly.
